Re:                    Hiring Student Assistants and Federal Work Study Students


Student employee positions (not including Graduate Assistants) will now be posted on our (ATS) applicant tracking system, where students can apply online. All who hire student workers are required to adhere to the new process for student hiring. Please continue reading to learn about the process changes and the upcoming workshops scheduled for hiring authorities. If you plan on hiring student employees (whether for Federal Work Study or Student Assistant positions) you must attend a workshop.

Currently the method for advertising student positions varies by department which makes it difficult for our students to locate on-campus job opportunities. Also, because the process of hiring students is decentralized, there are many instances where student information is not received timely by Payroll and Human Resources. As a result, student paychecks are sometimes delayed until required hiring processes are completed and documents are received.

The new online posting, application and hiring processes have been developed to increase efficiency and improve the student experience. Students will visit an internal URL to learn what job opportunities exist on campus and submit applications on-line. Managers will be able to review applicant materials as they are submitted to quickly identify qualified candidates and arrange interviews. Once selection is complete, the hiring process will be initiated through the ATS system which will accelerate the student onboarding process.

All managers who hire student employees must attend a Student Employee Hiring Workshop where you will learn:

• How to post student assistant positions

• The process for posting Federal Work Study positions

• How to review candidates’ applications

• How to initiate the hiring process

• How to collaborate with the Career Development and Financial Aid Departments to ensure completion of hiring requirements for Federal Work Study positions

• Payroll schedule for approving and processing timesheets

During the session you will hear from representatives from Payroll, Human Resources, Career Development and Financial Aid Departments, to ensure all of your questions about the student hiring process are answered.
