Audio Visual Services

The University Commons presents new and flexible space for student activities and events. The facility also offers many meeting rooms including a ballroom equipped with state of the art audio visual multimedia presentation components to enhance the programming needs of the campus community. The list below briefly highlights the A/V capabilities that we can provide in our rooms.

We also house portable P/A, LCD projectors for use in other locations of the University Commons. The segment below describes the services in detail for your reference.

Media Services
Wireless internet access is available in all common areas and lounges. Internet access in conference rooms can be requested during the space reservation process. In addition the University Commons has a limited supply of media equipment available on a drop off and set up basis. Our scope of service accommodates in house public address systems, TV/VCR/DVD units, LCD projectors, carts, and easels for posting announcements. The Scheduling Office has inventory of A/V equipment. Please indicate your request to use the equipment on your 25Live Room Reservation.

The group/user is responsible for the condition and return of the contracted equipment. Media Technicians will need to be contracted for a fee when scheduling the Ballroom, Conference Rooms (listed above) and the Multipurpose Room. Your room reservation contract will indicate such as well. In other rooms where built in system is not available we can provide portable LCD projectors and P/A systems.

It is expected that the contract representative notify Hospitality Staff at either the Information Desk or Main Office when they have any questions or when the event ends. Please refer to the service fee menu below for reference when completing the online room scheduling form. You may email your A/V questions to eventscheduling@wpunj.edu or call x3250 between 9am-4pm during Fall and Spring semesters.

Ballroom/Multipurpose Room/Conference Rooms BR 168 & 171, SC 202, 211, 216
Audio Visual service rates are as follows;

  • $15/hour - for the duration of the event *  Minimum charge - $30
  • Set up and testing time could vary depending on the extent of the set up
  • 30 minutes for set up time and troubleshooting
  • Lead time for scheduling – 7 business days **
  • Large setups and breakout rooms, if scheduled, will require a second technician at $15/hour

Conference Room 325 and Campus Restaurant
Audio Visual service rates are as follows;

  • Only portable equipment available – LCD projectors, TV/DVD/VCR units, P.A. system
  • Setup assistance e.g. connecting user’s laptop to LCD
  • $15/hour for the duration of the event *  Minimum charge - $30
  • Lead Time for Scheduling – 7 business days **

* Hospitality Services staff are available on site to assist with your event needs.

** For events scheduled in summer, winter and on holidays; Lead time for Scheduling - 15 business days
