The Award phase occurs after an award has been received by the university. During this phase, the Office of Sponsored Programs (OSP) will work directly with the sponsor, Principal Investigator, College, and any other necessary parties to negotiate terms in compliance with WP policy and execute the Award.

OSP will coordinate with the Principal Investigator, central administration, and sponsor to coordinate the lifecycle of the award:

  • Award Set-up
  • Award Set-up

    Upon execution of an Agreement (or an amendment to an agreement), the award information is entered into the Cayuse SP system by OSP. Once the agreement is set up in Cayuse SP, a notification is sent to the Finance Department so that they can complete the financial set up in the Workday system.

    Prior to the set up or the amendment of an award in Cayuse there are a number of compliance checks OSP performs to ensure that all applicable trainings and certifications have been completed, including:

    • Regulatory Reviews (IRB, IACUC, etc.)
    • COI Review
    • Review Award Terms & Conditions
    • Internal Approval Routing
    • Sub-award setup

    Once an award is active, OSP will work with the PI and the College to manage the award throughout the duration of the project.

    Managing your award may include the following:

    • Progress Reports (monthly, quarterly, annually, etc.)
    • Monitoring and navigating changes in Sponsor policy
    • Key Personnel Change
    • Re-budgeting
    • No-Cost Extension
    • Renewals
    • Carryover
    • Review Award Terms & Conditions
    • Compliance Review

    Award Closeout is the process of finalizing all administrative and programmatic requirements for a sponsored award. This includes submitting all required reports, reconciling financial accounts, and returning any unused funds to the funding agency.

    Award Closeout typically begins within a few months of the end of the award period, but the specific timeline may vary depending on the funding agency and the type of award.

    Award Closeout Activities Include:

    • Submission of Final Reports to sponsor
    • Collaboration with the Finance Department to verify the reconciliation of financial records. (*??)
